• Write the invitation letters two weeks before at least so that they can prepare themselves for the event beforehand
• You could try writing the letter on decorative stationery. For business events, company letterhead is best suited.
• Begin the letter with a warm greeting.
• Tell them the name of the event.
• Mention the date, time, as well as the venue of the event and any other important information (such as a theme for the event, if there is one).
• You have to mention whether those attending should wear casual or formal clothing, or any other special attire (for example costumes, uniforms, etc).
• If any special guests are supposed to be attending, you should include this information in your letter.

• Close by expressing your expectation that the event will be a success and you hope that the person to whom you are writing will be able to attend.
